Aligning Tides Counselling and Psychotherapy collects personal information to respond to enquiries and provide psychotherapy services. Maiah Horne, Registered Psychotherapist, is the contact person for questions about how the practice handles your information.
Contacting us
Our website form asks for your name, email address and message. A phone number is optional. We use this information to respond to your enquiry and discuss appointments or services. Please keep your message brief and avoid including detailed health information, therapy histories or other sensitive documents.
Form messages are delivered to aligningtides.therapy@gmail.com. Your email address is included so we can reply. The website does not maintain a separate inbox or archive of form submissions in WordPress.
Email and website enquiries are not monitored continuously and are not a way to obtain emergency help. Sending a message does not establish a therapeutic relationship.
If you become a client
We collect the information needed to arrange and provide care, document our work, and manage appointments and payment. This may include contact details, consent information, information relevant to therapy, session records and receipts. Clinical records are kept separately from the public website.
We explain consent and confidentiality as part of beginning therapy. We do not sell your information or add you to a marketing list because you have contacted us. We share personal health information with your consent, or when the law permits or requires it. Service providers and authorized people supporting the practice may process information needed for their role, subject to appropriate privacy safeguards.
Website, email and booking services
Hostinger hosts this website. The website sends form messages through the practice’s Gmail account, provided by Google, to aligningtides.therapy@gmail.com. These providers process information to operate their services. Website hosting is in the United States, and providers may process or store information outside Canada, where different laws may apply.
We use HTTPS to protect the connection to the website. Email is not an end-to-end encrypted clinical messaging service. Please ask us about a suitable way to share sensitive information rather than sending it through the website form or ordinary email.
Booking links open Aligning Tides’ Jane booking website. Links for services offered through Ripple Effect open that practice’s separate website or Jane booking page. Information you enter there is handled through that service and practice; it is not submitted through this website’s contact form.
Technical information and cookies
The hosting service processes technical information such as IP addresses, browser information, requested pages and request times to deliver and protect the website. The form also uses a short-lived counter based on a protected identifier derived from the connection address to limit repeated submissions.
We have not added Google Analytics, advertising pixels or a third-party CAPTCHA service to this website. WordPress may use cookies for authorized users who sign in to manage the site. Following an external link takes you to a service with its own privacy and cookie practices.
How long information is kept
The length of time we keep an enquiry depends on its purpose and whether it forms part of a record we need to retain.
Messages relevant to care are reviewed for inclusion in the appropriate record before duplicate email copies are removed. Where Maiah is the custodian, clinical records are retained for at least 10 years after the last interaction with the client, or 10 years after the client’s 18th birthday, whichever is later. A longer period may apply when required for an unresolved matter or legal obligation.
Hosting and email providers manage technical logs and backup copies on their own retention schedules. Deleting a message from an active mailbox does not mean every provider backup is immediately erased.
Questions, access and corrections
You can contact Maiah Horne at aligningtides.therapy@gmail.com to ask about our information practices, request access to or correction of your personal information, discuss consent, or raise a privacy concern. Please use a brief initial message; we may need to verify your identity and arrange a suitable way to exchange records.
Access, correction and consent rights are subject to applicable legal limits. You may also raise a concern with the Information and Privacy Commissioner of Ontario.
We update this notice when our information practices change. The current version will be available on this website.
